What RoomKeeper does
RoomKeeper keeps the dashboard administrative and the bot workflow primary.
RoomKeeper organises rental admin records for self-managing landlords. It processes rental messages, uploaded files, bank statements, receipts, invoices, expenses, tax-ready records, review decisions, and audit logs so landlords can review and confirm important records.
These beta pages explain RoomKeeper's current product posture. They are not final lawyer-reviewed legal documents.
Core privacy points
Plain-language beta privacy copy for landlords.
- RoomKeeper organises rental admin records.
- RoomKeeper processes rental messages, uploaded files, bank statements, receipts, invoices, expenses, tax-ready records, review decisions, and audit logs.
- RoomKeeper may use third-party AI providers for extraction, classification, summaries, and drafts.
- RoomKeeper does not use AI output as final financial truth without landlord confirmation.
- Users should not upload unnecessary sensitive information.
- Users should review important records before relying on them.
- RoomKeeper is not a property manager, tax agent, lawyer, or accountant.
Data minimisation
How RoomKeeper limits what should be sent to AI or stored as durable records.
- Send only relevant context to AI for the specific rental-admin task.
- Avoid sending full historical chat unless necessary for the task.
- Avoid sending full bank statement raw data when deterministic matching is enough.
- Use aliases or redaction where practical before AI processing.
- Do not expose one tenant's data to another tenant.
- Store durable business memory in the RoomKeeper database, not model memory.
- Keep confirmed records linked to source evidence and landlord confirmation.
Forward Mode privacy
Forward Mode comes before Group Mode so landlords control what enters RoomKeeper.
- Tenants do not need to join RoomKeeper groups during Forward Mode.
- The landlord can forward relevant tenant messages into RoomKeeper.
- The landlord is responsible for using RoomKeeper consistently with applicable privacy and rental obligations.
- RoomKeeper only organises records; it does not replace lawful notice or professional advice.
